SETTING UP AN EMAIL AUTO RESPONDER

Going away for a holiday?  No access to email for a few days?  In these types of cases, you need to set up an email auto-responder.

You need to understand that because email is coming into the server, that is where the auto-responder needs to be setup.  Attempting to set up an auto-responder in MS Outlook or some other email software will not work because that software will need to be “online” 24/7 in order for the auto-responder to rely to incoming emails. Our server is always online so that is where auto-responders need to be set up.

There are 2 ways to set up an auto-responder.

#1 SETTING UP AN AUTO RESPONDER IN WEBMAIL

Please follow the following steps…

  1. log into your webmail for your particular email address….
    webmail.{your_domain}.com
  2. Click on Settings
  3. Click on “Filters” and then the “Create” button in the top right
  4. Fill out the form fields as show below and click “Save”
  5. You’re done!

#2 SETTING UP AN AUTO RESPONDER IN THE HOSTING CONTROL PANEL

First, you need to make sure that you have access to the hosting control panel.  Normally employees don’t have access to this area because it is sensitive and it controls the entire domain (Website, DNS, Email, etc..).  An account administrator should have access.

  1. Log into the hosting control panel..  https://cp.Qhost123.com
  2. Click on “Mail”, then click on the email address that you want to set up the Auto-Responder for
  3. Click on “Auto-Reply” at the top and then check the box that says “Switch on auto-reply” and fill out all of the necessary fields
  4. You’re done!

As always, you should test the Auto-Responder. Simply send an email to that email address, wait a few minutes, and you should receive an auto-reply back.
